What Documents Are Required to Export Vehicles from China?

Exporting a vehicle from China is a VIN file. The ocean will not save a missing title, a wrong invoice value, or a destination that forbids that year or that steering side. This guide lists the papers that usually appear on a 2026 China vehicle export, what the destination still asks for, and how DDP changes who must hold which original.

A document pack is also a clock. If a used-title original is still in another city, the cheapest move is to wait. Booking a RoRo window on a promised courier is how cars earn storage at both ends. You will see commercial invoice, vehicle or packing list, export customs, bill of lading, title or deregistration for used units, and extra battery papers for EV and hybrid files. Collect the pack before you book space. A car can sit in a yard cheaper than it can sit on a destination terminal while a PDF is found.

1. The core pack every commercial vehicle file needs

  • Commercial invoice: seller, buyer, value, currency, make, model, year, VIN, propulsion.
  • Vehicle list or packing list: VIN, dimensions, weight, keys, spare items.
  • Export customs declaration that repeats the VIN and the HS heading.
  • Transport document (B/L or waybill) with the VIN in the cargo description.
  • Photos of VIN plate, odometer, four corners, and any damage.

If those five disagree with each other, destination customs will pick a fight. Copy the VIN from the plate photo every time.

2. How the commercial invoice should read for a car

Write the unit as a vehicle, not as “auto parts” if it is a complete car. Name the VIN. Name whether it is new or used. Name the Incoterm you actually bought. A CIF invoice with a DDP operation is a story that will fail. Value must be a value you can defend. Under-declaration is not a document strategy.

3. Used cars: title, deregistration, and the history story

A used unit usually needs proof it can leave China and proof the destination will accept it as used. That can mean a title, a deregistration, an invoice chain, and an odometer photo. Some markets want a cancellation of China registration. Some want an export inspection. If you cannot tell the story on paper, do not book the vessel.

4. New cars and manufacturer documents

Factory-new units may need a certificate of conformity, a build sheet, or a manufacturer invoice the destination recognises. Parallel export without those papers is how a “new” car becomes a problem used car at the destination. Ask the buyer’s broker which manufacturer paper their customs wants before the car leaves the compound.

5. What documents destination customs still wants

Import licences, age limits, left-hand or right-hand rules, emissions, and sometimes a pre-shipment inspection are destination papers. China export clearance does not create those rights. Confirm the destination rule first. A perfect China pack for a ten-year-old petrol car is still useless in a market with a five-year cap.

7. DDP vs port delivery: who must hold originals

On port delivery, the buyer’s broker needs the B/L and the VIN pack in time to file. On DDP, Xinhan Logistics or the nominated destination agent must have the same pack plus the power to pay duty. If the buyer keeps a title original in a desk and the DDP agent cannot file, the car waits. Write who holds which original.

8. LCL vs FCL paperwork when parts travel beside the car

The car’s B/L is a vehicle B/L. Parts on LCL need their own invoice lines and their own classification. Do not hide a complete engine on the car’s invoice as “tools in trunk” if it is a separate commercial item. Shared boxes still need honest lines. Mixed goods with a VIN unit make exams more likely.

9. Packaging photos are documents

Treat the photo set as part of the legal pack: VIN plate, odometer, interior, roof, wheels, existing scratches. Timestamp them. They support insurance and they support customs when someone claims a different car arrived. A file without photos is a weaker file.

10. Electric and hybrid extra papers

Name the battery type. Keep any UN test summary or factory battery statement the carrier asks for. Some RoRo and some container operators will not book without it. This is not optional decoration. A silent EV is a delayed EV.

11. How to choose a document path before you choose a vessel

If the destination needs a pre-shipment inspection, book the inspector before the cutoff, not after stuffing. If the destination needs an import licence, wait for the licence number. Vessels do not wait for licences that “are coming.” Choosing a sailing before the paper path is how cars circle a port.

12. Keys, codes, and manuals as controlled items

List the number of keys. If there is an immobiliser code or a charging-card, say where it rides. Destination registration offices ask. A missing second key is a commercial claim. Write it on the vehicle list so it is not a memory.

13. HS classification and why “8703” is not a complete answer

Passenger cars, goods vehicles, and special-purpose units do not live in one mental bucket. Hybrid and EV headings can differ by market. Tell the broker the propulsion and the use. A wrong heading is a duty surprise and a delay. Xinhan Logistics will ask; answer with the real body type.

14. Certificates of origin and preference claims

Some destinations care about origin for duty preference. A car assembled in China is usually China-origin, but parts stories can get cute. Do not claim a preference you cannot paper. A rejected origin claim is slower than paying the ordinary duty.

15. Inspection certificates and roadworthiness

Some African, Middle East, and Latin American buyers need a pre-export inspection or a roadworthiness paper. That is a scheduled event. It adds days. Put it on the clock. Do not discover it at destination.

16. Common document mistakes

  • VIN typos between invoice and B/L.
  • Used car invoiced as new.
  • Missing destination import licence.
  • DDP file where the buyer still holds the only original title.
  • EV booked with no battery statement.
  • Personal goods left in the cabin and not listed.

17. How customs at origin reads the pack

China export for vehicles is conservative about identity. The unit they see should be the unit on the form. If you swap a car after filing, file again. Do not hope. A swapped VIN is a seizure personality, not a small amendment.

18. How destination customs reads the pack

They test value, identity, age, and whether the unit is street-legal in that market. They may inspect. They may ask for more photos. Answer with the same VIN sentence. Do not send a new story. Send the missing exhibit.

19. Record retention after delivery

Keep the pack after the car is delivered. Warranty, registration, and a later tax query all come back to the same PDFs. A professional house keeps the file. You should keep it too.

20. What to send Xinhan Logistics with the first email

Invoice draft, VIN photo, measurements, new or used, propulsion, origin city, destination country, and whether you want DDP or terminal. If used, add the title story. That is enough to say which papers are still missing before anyone spends ocean money.

21. Translations and stamps

Some destinations want a local-language invoice or a stamped export form. Ask early. Translation after arrival is dwell. If a stamp must be wet-ink, do not rely on a WeChat photo of a stamp.

22. One vehicle, one identity, even in a shared 40HQ

Two cars in one container still need two VIN lines, two photo sets, and a B/L that can separate them if one unit is held. Do not merge two identities into “2 x used cars.” Identity is the whole document system.

23. When a document cannot be found

Stop the booking. A cheap ocean on a broken pack is the expensive path. Wait. If the paper will never exist, pick a different destination or a different unit. Xinhan Logistics will say no rather than load a file that cannot enter.

24. Close: freeze the pack, then book the method

25. Power of attorney and who may file

Destination brokers need authority. A DDP structure needs authority. If nobody has a signed power of attorney or an importer number, the pack can be perfect and the car still sits. Write who files. Send the authority with the VIN pack, not after the vessel arrives.

China export also needs the exporter of record to be a real party. A random WeChat shop that cannot appear on a declaration will stall origin. Professional files name a legal seller.

26. Photo exhibits that act like legal pages

A VIN plate photo, an odometer photo, and a four-corner set are not marketing. They are how customs and insurers agree that the unit on the B/L is the unit on the truck. Keep them in the same folder as the invoice. Name the files with the VIN, not with IMG_3482.

If you ship two cars, two folders. Mixed folders are how the wrong photo answers the wrong query and costs a week.

27. Sanctions, theft checks, and why a VIN search is a document

Some destinations and some carriers want a theft-database or sanctions screen. Save the result with the pack. A clean screen today is part of the file. If a VIN hits a watch list, stop. Ocean will not wash a blocked identity.

28. Amendments after loading

If you must change a consignee or a notify party after the B/L is issued, treat it as a new document event with days and fees. Do not assume a chat can rewrite a filed VIN story. The cheapest amendment is the one you never need because the invoice was frozen.
