Sea freight from China works as a chain: factory or CFS stuffing, China export, vessel string, destination terminal, then CY pickup or destuff. It is not a truck with water in the middle. Cutoffs, VGM, B/L instructions, and free time are the operating system. Importers who treat ocean like a courier label meet storage.
This 2026 walk-through covers the process from factory to destination port, cost groups, transit bands, documents, DDP versus port delivery, LCL versus FCL, packaging, customs, and common mistakes. Ranges are planning tools. Xinhan Logistics quotes a named load region and a named discharge. We will not publish a fake live box rate as today’s market.
Name the factory city and the discharge port before you ask “how sea works.” Yantian to Los Angeles is not Ningbo to Felixstowe.
1. The skeleton of a China ocean file
Cargo is packed. It is picked up or dropped to CFS/CY. Export customs is filed. The box or LCL lot is gated in. The vessel sails. At destination the terminal discharges. Customs is filed. FCL leaves as a box or is destuffed; LCL is destuffed at CFS. Trucking finishes if the product includes a door. Every extra promise (DDP, appointments, residential) hangs on this skeleton. If a step is unnamed, it is not in the product.
2. Factory pickup versus CFS drop
Pickup is a truck from the factory on a booked day. CFS drop is the factory’s truck to a warehouse that consols LCL or stages FCL. Inland China factories often need a real pickup plan; coastal factories sometimes drop. The quote must say which. “FOB China” without a port is not a process.
3. Planning table: FCL and LCL clocks
| Step | FCL personality | LCL personality |
|---|---|---|
| Origin handling | Empty in, stuff, seal, VGM, gate-in | Receive cartons, consol, share a box |
| Main carriage | Your container on a string | Your CBM inside someone’s container |
| Destination | CY pickup or live unload | Destuff, sort, then truck |
| Free time | Demurrage/detention clocks | CFS storage after a short window |
| Documents | B/L, seal, VGM | House B/L, carton marks, destuff list |
Same ocean, different files. Xinhan Logistics will not mix them on one vague “sea” line.
4. How FCL stuffing actually happens
Empty container to factory or warehouse. Cartons or pallets loaded to a plan. Seal applied. VGM submitted. Gate-in before cutoff. If the factory stuffs, they own the stuffing quality. If a warehouse stuffs, the warehouse owns it. Photographs at origin are part of how sea works in 2026, not a nice-to-have.
5. How LCL consol actually happens
Cartons arrive, are checked against the packing list, and wait for a consol close. They share space with other shippers. Marks must be unique. Weak cartons become everyone else’s problem. LCL is not “small FCL.” It is a warehouse product plus an ocean product.
6. Cost groups on the way to the destination port
Origin inland, origin terminal, ocean and bunker-style surcharges, destination terminal, and then whatever is after the port. A “port to port” quote stops at CY or CFS. Everything after is extra unless DDP or door is named. Cheap ocean with unnamed destination THC is not how sea works. It is how disputes work.
7. Transit bands without pretending they are guarantees
Many China to US West Coast FCL water times sit around 14–22 days; US East Coast often 26–38; North Europe often 25–40; some Middle East strings 18–30. Add inland China, cutoff, and destination free-time behaviour. LCL adds consol and destuff, often several extra days. Blank sailings and port congestion sit outside brochure water time. Plan a band, not a birthday.
8. Documents that let the vessel and the port accept you
Commercial invoice, packing list, B/L instructions, AMS/ENS/ISF or local equivalents where required, VGM for FCL, and licences for regulated goods. The B/L is a title and a data object. If consignee, notify, and description are sloppy, destination port process stops even though the vessel was on time.
9. DDP versus destination port delivery
Destination port delivery is CY or CFS handoff. You or your broker own import and truck. DDP is a different product: tax method and a named door. How sea works for a CY buyer is not how sea works for a DDP buyer. Do not buy CY process with a DDP expectation.
10. LCL versus FCL is the first sea product choice
Until you choose LCL or FCL, “how sea works” is unfinished. CBM, weight, and door receiving decide. A shop without a dock often needs destuff even on FCL. A DC with a yard wants the box. Choose the product, then the string.
11. Packaging for the ocean, not for the showroom
Cartons must survive stacking, humidity, and LCL neighbours. Palletize when the destination handling expects pallets. Mark un/this way up. Wood packaging must meet destination ISPM rules. Sea works when packing works. Sea fails when factory inner boxes are treated as export packs.
12. Customs at export and import
China export filing must match the cargo. Destination import must match the invoice and HS. The port is not a magic cleaner of bad data. Exams happen at terminals and CFS. Build description quality at origin. That is part of the process, not an afterthought at discharge.
13. Cutoffs are the real clock
Documentation cutoff, cargo cutoff, VGM cutoff, and SI cutoff are different hours. Missing one can roll the container to next week while the ocean rate screenshot stays in the chat. How sea works: you hit cutoffs or you miss the boat. Literally.
14. Equipment types you will actually see
20GP, 40GP, 40HQ are the daily tools. Open top and flat rack exist for oversized cargo and are a different process. Reefer is a different process again. Do not stuff overweight into a 20GP because the ocean line looked friendly. Payload and road limits at both ends are part of how sea works.
15. Free time, demurrage, detention
After discharge, the terminal clock and the container clock start. If your broker is slow or your warehouse has no appointment, sea becomes storage. Price the clocks. A process that ignores free time is a process that prints debit notes.
16. How a forwarder should run the chain
Named pickup day, named cutoff list, named vessel or at least a string class, named discharge, named destination agent. Status that matches terminals, not poetry. Xinhan Logistics would rather tell you a roll than pretend a missed cutoff still “should be OK.”
17. Common process mistakes
- Booking FCL without a stuffing plan or photos.
- Booking LCL with unmarked identical cartons.
- Issuing B/L data that disagrees with the invoice.
- Assuming destination port means downtown delivery.
- Ignoring ISF or comparable filings until sailing.
18. What to send so sea can be planned
Packed CBM, gross weight, factory address, destination port or door, commodity, and whether the door can receive a container. Photos of packing. Xinhan Logistics will say LCL or FCL and where the chain stops (CY versus DDP).
19. Peak and blank sailings
How sea works in peak is: space is a allocation, not a right. Book earlier. Have a backup string. Air is a backup only if you planned chargeable weight. Panic air after a blank sailing is a cost event, not a process.
20. Insurance on the water
General average, wet damage, and LCL handling claims are real. Process includes offering cargo insurance and explaining what photos you will need. Do not assume the carrier’s liability equals your selling price.
21. What this article will not publish
No live 20GP or 40HQ all-in as today’s China market. Strings and bunkers move. A dated quote on your CBM is how sea is priced. This page is how sea is run.
22. Worked file logic without fake rates
A 6 CBM weekly parts programme: LCL to a CFS you can truck from, standing SI template, photos every lot. A 28 CBM furniture PO: 40HQ, factory stuffing SOP, seal photos, CY or destuff priced before booking. Same “sea freight,” two operating systems.
23. Air versus sea sits next to this chain
If the factory-to-port chain cannot hit the sellable date, you leave this article and open an air file. Do not try to make ocean behave like air by shouting at the cutoff. Switch products.
24. A short audit list before you book sea
- LCL or FCL stated.
- Pickup city and discharge port named.
- Cutoff list in writing.
- CY versus DDP labeled.
- Free time stated.
25. Reduce cost inside the ocean process
Hit FCL fill, avoid storage, pack to survive LCL, and stop rolling boxes. Process quality is a cost-down programme. Rate shopping weekly while missing VGM is not.
26. Request a factory-to-port plan
Send the cargo card to Xinhan Logistics. Ask us to map factory to destination port, then say whether the file should stop at CY or continue DDP. We run sea as a chain, not as a screenshot.
27. Book the chain that can finish
Sea freight from China works when every step is named and owned. Unnamed steps belong to you, on a Friday, with storage accruing. Name them now. Then sail.
Bill of lading types and how they change the port process.
Originals versus telex/express release changes how destination port release works. A forgotten original in a courier pouch is a storage machine. Sea works when B/L type matches how the buyer actually pays and releases. If the bank is in the middle, the process includes the bank. If the cargo is prepaid and trusted, telex can shorten the port end. Choose B/L type at booking, not at discharge while the box is racking free time.
ISF, ENS, AMS and other advance filings.
Some destinations require advance data before the vessel arrives or even before loading. This is how sea works in 2026: data ahead of steel. Late filings are penalties and delays. The forwarder needs a correct party of record early. ‘We will send the invoice after sailing’ is how files miss the process. Put filing ownership on the booking confirmation.
Transhipment versus direct strings.
Many China lanes tranship. Direct is not always faster; tranship is not always slower. What changes is exception handling: a missed connection is a week, not an afternoon. When you ask how sea works, ask whether the plan is direct or via a hub. Plan a band that can absorb a miss if the string is a hub string. Do not buy a direct fantasy on a hub allocation.
Who is allowed on the terminal and why that matters.
Not every trucker can pick up every box. PIN, appointment, and nominated haulier rules are destination process. A CY quote that assumes your cousin’s truck can enter tomorrow is incomplete. Sea to destination port includes the nomination rules. Ask the destination agent who can collect. Put it in the plan before the vessel sails, not after availability.
Hazardous, battery, and oversized as different oceans.
DG and oversized cargo use different acceptances, sometimes different terminals, sometimes different vessels. ‘How sea freight works’ for general cartons is not how it works for UN-classed batteries or a machine that does not fit a 40HQ. Declare early. The process either exists or it does not. Finding out at gate-in is the expensive version of education.
Visibility: what you should see from factory to port.
Pickup POD, gate-in, on-board, ATD, ATA, discharge, available. If the house cannot show gate-in, they cannot show how sea is working. Portal screenshots of a sailing brochure are not visibility. Xinhan Logistics would rather send a dull status that matches the terminal than a colourful ETA that matches a wish.
