Calculating China to USA shipping cost means adding the jobs you will actually buy, then leaving a band for the jobs that still depend on CBP and the calendar. Importers who only divide last month’s ocean by unit count are not calculating. They are decorating a spreadsheet.

1. Start with a carton table, not a target number
List every carton size, count, and kilograms. Convert to CBM. Note payload. Light bulky cargo and dense cargo do not calculate the same way on LCL or air.

3. Choose a mode so the worksheet has a unit
FCL calculates per box plus clocks. LCL calculates per CBM plus handling. Air calculates on chargeable weight. Express calculates on network rate cards that get ugly on cube.
If you have not chosen a mode, you do not have one worksheet. You have three sketches.
4. Cost factors you can range without faking a live print
Season, port pair, equipment, and cargo family move the band. Write a low-to-high planning range and a validity note. That is a calculation. A single USD pretending to be eternal is not.
Ask the desk for the band and the validity, then drop it into the sheet.
5. Transit time belongs in the same sheet as money
A slower mode that misses a season is not cheaper. Add a simple column for ‘days at risk’ next to each mode. West Coast sea, East Coast sea, and air do not share one risk column.
Calculation without calendar is how finance teams get surprised.
6. Documents change the duty and exam cells
If the invoice cannot support the value, your duty cell is fiction. If ISF will be late, add a storage risk cell. Papers are inputs, not decorations.
Do not calculate duty from a catalog title.
7. DDP versus port delivery changes which cells you own
On port delivery, destination truck, chassis, brokerage, and duty still belong in your sheet even if they are not on the forwarder’s PDF. On DDP, those cells should appear as included or estimated on the quote.
If a DDP quote has no duty rule, add the duty cell back yourself.
8. LCL versus FCL math is utilization math
Divide the FCL all-in you actually built by units. Divide the LCL all-in you actually built by the same units. Include destuff and damage risk, not only the ocean line.
If FCL only wins because you omitted destination, you did not calculate. You deferred.
9. Packaging is a line if the cargo can fail
Export cartons, pallets, and ISPM-15 wood are real money. So is a restack after a CFS crush. Put a packaging quality note next to the freight cells.
A calculation that assumes perfect cartons on LCL is optimistic.
10. Customs duty is a band, not a decorative percent
Use a classification you will stand behind. Include additional duties that may apply to some China-origin goods. Label the cell ‘estimate’.

If two modes both survive the calendar, keep both until you book. Then archive the loser.

If you are booking through a known peak, raise the probability of rolls and peak surcharges in the notes. Do not keep a May validity in a September sheet.
Peak is not a surprise if you write the month.
17. Insurance is a small line that protects a large line
Put the premium next to the cargo value. Put a note that claims need photos. Do not skip the line because it is small.
A calculation that assumes zero damage on LCL is a wish.
18. After the first invoice, replace estimates with actuals
Copy billed origin, ocean, destination, and extras into the next PO’s sheet. That is how calculation gets better. Importers who never update the sheet keep buying the same surprise.

19. E-commerce inbound adds cells most ocean PDFs omit
Labeling, inbound appointments, and sometimes split deliveries are money. If the receiver is FBA or a strict 3PL, add those cells before you call the ocean ‘the cost’.
A port calculation is not an inbound calculation.
20. East Coast versus West Coast is two worksheets
West Coast ocean plus a long inland truck can lose to East Coast ocean plus a short truck. Run both landed pictures when your customers sit inland or in the East.
Do not calculate only the berth you like on a map.
21. Surcharges should appear as named rows
BAF, PSS, peak, AMS, documentation, and destination THC deserve rows even when they are estimates. Hidden rows are how ‘all-in’ dies after onboard.
If the quote bundles them, write ‘bundled’ so you remember later.
22. Reduce cost by attacking the largest honest cell
If utilization is the leak, fill the box or switch to LCL. If air chargeable weight is the leak, redesign cartons or sail the restock. If last free day is the leak, fix the receiver.
Do not attack the smallest ocean cent while a chassis clock is on fire.
23. Keep one owner so the sheet matches one invoice style
Three vendors produce three incomplete invoices and a spreadsheet that never closes. One desk makes the actuals easier to map.

Give it a probability and a daily storage guess even if you hope it stays zero. Hope is not a cell format.
FCL math that ignores last free day is how cheap boxes become expensive stories.
28. Build three scenarios, not one heroic number
A useful worksheet has a clean-file case, a rolled-vessel case, and an exam case. If only the clean case exists, finance will treat the other two as vendor failure instead of cargo reality.

Reconcile in the same units you quoted. If you booked a 40HQ, close the sheet on a 40HQ. If you booked CBM, close on CBM. Changing units after the invoice is how extras hide in the blend.
