China Door-to-Door Shipping: How to Import Goods from China to Your Warehouse

Door-to-door from China is a warehouse product that happens to use a ship or a plane. The factory, the CFS or CY, the terminal, customs, and the last truck are only useful if a dock can receive countable cargo during published hours. This article is for importers who want goods from a China factory city onto a warehouse floor without discovering at 16:40 that the truck needs a tail-lift and a portal appointment.

1. Define the door before you define the ocean

A commercial dock with a forklift is one product. A street-level shop is another. A residential garage is a third. A fulfilment centre with ASN windows is a fourth. If the quotation assumes the first and you have the third, the “door” will fail in public.

Write receiving hours, appointment method, max pallet height, and whether a container can drop. That paragraph belongs in the booking, not in a surprise text to the driver.

2. Choose DDP or port-plus-your-trucker with your warehouse in mind

Some warehouses will not touch uncleared cargo. Some insist on their own house broker. Some want FCL dropped in the yard. Door-to-door DDP fits the first type. A CY delivery plus your drayage contractor fits a plant that already runs containers. Match the legal path to the dock, not to a blog acronym.

If the warehouse is also the importer, say so. Consignee names that do not match the gate list sit outside.

3. LCL door versus FCL door is a handling decision

LCL arrives as pallets or loose cartons after destuff. You need a dock that can take parcels of mixed size. FCL arrives as a box that must be unloaded or dropped. Near 12–15 CBM, ask for both. The cheaper door is often FCL if your yard can swallow a container; LCL if you cannot.

Do not force a 2 CBM trial into a 40-foot story. Do not force 28 CBM through a CFS if a 20-foot would have been kinder to the cargo.

4. Air door is a van and a chargeable-weight file

Air door-to-door is still origin pickup, export, flight, arrival handling, clearance, and a small truck. It is the right tool when the warehouse needs stock in days, not weeks. Volumetric cargo will look expensive because physics did not change for your promotion calendar.

Plan air for compact urgent SKUs. Plan ocean for cubes that can wait. Mixed modes need packing lists that do not hide fasteners in the slow box.

5. Planning windows from China factory to warehouse floor

Ask for a target sailing or routing. A warehouse slot booked against a brochure average is how you pay storage at both ends.

6. Origin pickup is part of the warehouse promise

If the factory cannot export-pack on the date they promised, the door date moves. Build cargo-ready as packed-and-labelled, not as “production finished.” Photograph the packed lot. 7. Export packing that a destination warehouse will accept

Palletise if the receiver’s WMS expects pallets. Keep carton sizes that fit a pallet jack. Mark SKU and qty on two sides. Do not ship unboxed furniture into an LCL stack and hope the warehouse “will figure it out.”

Wood packaging needs treatment marks where the destination cares. Australia will not negotiate with your untreated pallet because the sofa is pretty.

8. Documents the warehouse never sees but still needs

Invoice and packing list drive customs. Customs drives the truck. The warehouse only sees a rejected appointment if the entry is unfinished. Door-to-door is a document pipeline that ends in a dock scan.

  • Packing list carton count must match what the driver can deliver.
  • PO or ASN numbers belong on labels if the WMS requires them.
  • Hazard labels belong on the cartons, not only in an email.

9. Appointments, portals, and limited access

Big-box and 3PL warehouses live on portals. Miss the cutoff and the truck rebills. Limited-access sites, schools, and city-centre shops need extra time and sometimes a smaller vehicle. Put these notes on the DDP booking. Drivers are not telepaths.

If the site requires a COI from the carrier, send the requirement before sailing, not at ETA minus four hours.

10. Unloading labour is not included in a poetic Incoterm

DDP typically delivers to the named place ready for unloading. Unloading labour, inside delivery, and unpacking are extra unless quoted. A warehouse with no staff on Saturday is not a DDP failure. It is a closed door.

FCL live unload needs people and a forklift. If you only have a pallet jack and a 20-foot of tile, say so. The plan will change.

11. Residential last mile is a different tariff

Threshold delivery, stairs, and booking windows belong to a courier-ish product, not a standard commercial DDP. If your “warehouse” is a house used as a staging room, tell the truth. The quote will grow. The delivery will actually happen.

Do not surprise a container truck with a cul-de-sac and a low tree.

12. Customs still sits between the terminal and your dock

Uncleared cargo is not a warehouse inbound. Under DDP the agent files; under DAP you file. Either way, the dock date is after release. Build safety stock for exam risk on first HS families.

A clean file is warehouse-friendly even though the officer never visits your aisle.

13. How cost should be read for door-to-door

Origin, main freight, destination handling, duty/tax if DDP, and truck. City pairs change the truck more than they change the ocean sometimes. A Midwest warehouse is not a Los Angeles warehouse. A North England warehouse is not a Rotterdam warehouse.

14. Common warehouse receiving failures

No appointment. Wrong PO on the label. Mixed SKUs in one carton when the WMS forbids it. Pallet height over the racking rule. Delivery on a half-day the buyer forgot. Cargo that needs a tail-lift at a dock that has a pit.

  • Share the inbound SOP with the forwarder as a one-pager.
  • Do not change the delivery address after ISF without a conversation.
  • Count pallets against the packing list before the driver leaves.

15. Damages and shortages at the door

Note exceptions on the POD. Photograph crushed corners before you break down pallets. Door-to-door claims die when everyone signs clean and complains on Friday. The CFS and the last truck both need a paper trail.

Insurance is still a separate decision. Warehouses do not insure your ocean risk because they signed a tablet.

16. FBA and other program docks

Marketplace deliveries have carrier lists, labelling rules, and refusal cultures. A generic China DDP truck can be the wrong tool. Say the program name. If the program is not available on that lane, we will say so instead of inventing a booking.

Carton labels that only please the factory will not please the fulfilment scan.

17. Split shipments into one warehouse

Air plus ocean only works if the warehouse can receive two inbounds and the packing list says which SKUs are in which mode. Otherwise you stockpile unfinished sets. Plan kitting in China if the warehouse is not a factory.

Do not hide the split from the receiving team. They will treat the first truck as the whole PO and close the rest as overage later.

18. Peak inbound weeks

Warehouses book out in Q4 and around local holidays. Ocean DDP that arrives into a full yard waits. Book receiving capacity when you book space, not when the vessel is on the bar.

19. What to send for a warehouse-grade quotation

Packed dimensions, weight, commodity, origin city, warehouse address, receiving hours, appointment portal if any, dock versus tail-lift, and whether DDP tax should be included. Photos of the packed cargo help when the HS is unclear.

20. Factory-to-warehouse RACI in one paragraph

Factory packs and loads. Forwarder moves and, if DDP, clears. Warehouse receives and counts. Buyer owns product facts and receiving labour. If any of those four go quiet, the door date slips. Name humans, not departments.

Put the names on the booking confirmation.

21. Do not confuse tracking links with receiving readiness

A vessel AIS ping is not a dock appointment. A “out for delivery” email is not a signed ASN. Run both systems. The warehouse lives in the second one.

When ETAs move, move the appointment. Paying a wasted live unload is optional only if you enjoy it.

22. After the first inbound, freeze the playbook

Save label format, pallet recipe, HS, and appointment method. Replenishment should be boring. If every inbound is a new adventure, you are paying the warehouse to educate you.

Keep the same forwarder on the lane long enough for the destination agent to recognise the SKU family. That is how door-to-door becomes ordinary.

23. When the warehouse should not be the door

If the site cannot unload, use a local 3PL that can, then transfer. That is still a China door-to-door design, just with an honest door. Pretending a shop basement is a CY is how you fund waiting time.

24. A receiving-day checklist

Appointment confirmed, labour on site, packing list printed, camera ready, pallet jack charged, and a contact who can reach the forwarder if the count is wrong. Then sign what is true, not what is convenient.

That is how China cargo becomes warehouse stock instead of an argument.
