A China to Europe freight file is four things tied together: a clock, a cost stack, a customs identity, and a named delivery place. If you only ask how long sea takes, you get an ocean string. If you only ask how much it costs, you get a freight line. Working files in 2026 start with the place: CY at a North Continent port, CFS destuff, or a door. This article is a one-sheet importer guide. It ties transit, cost, customs, and delivery options into one planning conversation. Sea, air, and rail appear as modes inside that conversation, not as three separate slogans. Bands are planning ranges for calendars, not live tariffs. Send packed sizes, commodity, origin city, and the named place for a written quotation.
1. Name the delivery place before you name the vessel
Rotterdam CY, Rotterdam CFS destuff, and a warehouse door in Düsseldorf are three products. They do not share a clock and they do not share an invoice. Importers who start with a famous port and finish with a surprise door are buying two files while paying for one quote. Write city, country, and whether cargo stops at CY, at CFS, or at the receiver’s dock. Xinhan Logistics will refuse a vague Europe instruction on a commercial file. The place is the product. The vessel is equipment under that product.
2. CY, CFS, and door are three different handoffs
CY is a full-container handoff at the yard. You or your trucker take the box. CFS is a destuff warehouse handoff for LCL. You take loose cargo after unstuffing. Door is a truck to a named address after the port or CFS step, with or without a DDP customs wrapper. Mixing those words on a quote comparison is how a cheap number wins a meeting and loses the arrival. Factory FOB Ningbo plus DDP door Munich is a normal stack. Factory DDP in a sales chat with no named place is not a stack.
3. The China-Europe clock is a chain
Clock pieces are factory ready date, origin pickup, export close, CFS receiving if LCL, terminal cutoff if FCL, sailing, discharge, destuff or CY availability, customs release, and truck. Miss any piece and the headline transit was theatre. Sea LCL packed-to-door often lives in a 6 to 9 week planning band depending on destuff. FCL to CY can look similar on ocean and shorter after arrival because there is no destuff queue. Air compresses the middle and still waits on clearance. Ask for milestones. A 30-day Europe claim is sometimes ocean plus hope.
4. Build the cost stack in the same order as the chain
Cost follows the same order: origin handling, origin terminal or CFS, ocean or air or rail linehaul, advance filings, destination terminal or destuff, delivery order, broker, duty, VAT cashflow, and on-carriage. Drop a line and the quote is a different product. Ocean-only versus DDP door is two scopes, not a price fight. VAT cash on DDP looks large. VAT cash on your own import looks large later. Compare treatment. Duty follows classification and origin, not the freight product. A chat message is not a binding duty percentage.
5. Mode overview: sea, air, and rail in 2026 working files
Sea is the default machine for commercial cube into Rotterdam, Hamburg, and Antwerp. Air is the calendar machine when inventory or a missed cutoff beats chargeable weight. Rail is a middle calendar product to a European rail terminal, then still a clearance and a truck. None of the three is door by magic. Choose the mode from the named place and the ready date. 6. Sea FCL: CY at a North Continent port
A 20-foot or 40-foot to Rotterdam, Hamburg, or Antwerp CY is the clean sea product. You control stuffing and avoid mixed-cargo destuff. You still pay destination terminal pieces and you still need a trucker unless the quote is door. FCL often becomes the better all-in past about 12 to 18 CBM once LCL destuff and last-mile minimums are included. FCL removes destuff. It does not remove customs. Do not treat CY as door. The box at the yard is not a box at your warehouse.
7. Sea LCL: CFS destuff then a truck
LCL ocean on the North Continent pair is often similar in sea days to FCL. Extra time is origin CFS and destination destuff. Extra money is those warehouses plus W/M minimums. Palletized LCL is the packing plan. When cube approaches 12 to 18 CBM, price the 20-foot to the same city before you repeat LCL from habit. LCL DDP packed-to-door commonly plans around 6 to 9 weeks, destuff-dependent. Ask where destuff happens. A secondary port with no weekly destuff is a waiting room.
8. Air freight when inventory cost beats ocean
Air is chargeable weight, not CBM theatre. Voluminous goods can price like sea door once you see the air number. Dense spare parts, samples, and missed-cutoff recoveries are the usual air files. Airport-to-airport is not door. DDP air still needs a named address, clearance, and a truck that can enter the site. Decide air before CFS cutoff is already gone. 9. Rail as a calendar product with a terminal still to clear
Rail can sit between air and sea on the clock when space and routing exist. It still ends at a rail terminal, not at your buyer. Customs and truck remain. Rail is not a substitute for naming Rotterdam CY or a German door. If a quote cannot name the European rail terminal and the on-carriage, it is not a rail product. Do not mix rail transit with a sea LCL destuff story and call it one number.
10. 2026 planning bands by named place
The table is for first-pass calendars and costing talks. It is not a live freight tariff and it does not publish a fake today’s USD per CBM. Origin CFS for LCL still needs several days after receiving. That wait belongs in the sea LCL clock even when the ocean string looks like FCL. Door appointments belong in every door clock.

11. Rotterdam, Hamburg, and Antwerp as the usual gateways
North Continent hubs remain the working gateways for a large share of China to Europe commercial cargo. They concentrate sailings, destuff, and truck networks. A buyer in Poland, Czechia, or northern Italy may still destuff or CY in one of those three and then truck. Southern local discharge can exist; frequency is the product feature. UK is not the EU for paperwork. If you sell both, split the cargo. One stuffing of mixed UK and EU cartons is a destuff knot.
12. Customs is a person and a number, not a slogan
EU import collect needs an importer identity and usually an EORI. The person who files, the person who pays duty, and the person who accounts for VAT can be you, a structured DDP model, or a fiscal representative. We handle customs can mean a broker fee. Ask who is importer of record in writing. Advance cargo data must match the goods. Freeze the commercial invoice and packing list before cutoff. 13. VAT cashflow: DDP, deferment, or your own broker
VAT is often larger than freight on Europe files. Choose the product your accounts can post. DDP that includes VAT cash is a cashflow product as much as a truck product. Your own postponement scheme can make collect cheaper to operate if you already have it. Fiscal representation is not a synonym for DDP. Ask which model the quote uses. Put finance on the quote review, not after destuff. A door in Germany with the wrong VAT model is not the door you thought you bought.
14. Documents that must freeze before cutoff
Commercial invoice, packing list, packed dimensions, gross weight, and a classify-able description are the minimum. House bill data must match marks and piece counts. Wood packaging needs ISPM 15 marks when wood is present. Origin preference papers only when they are real. Assorted goods is how exams start. English documents are normal. Language does not replace classification. Paper is part of transit time the same way cutoff is part of transit time.
- Named CY, CFS, or door city, including country and UK versus EU.
- Importer of record sentence and VAT treatment: included, excluded, or deferred by you.
- Packed CBM and kilograms, not inner-box drawings.
- Commodity notes: batteries, liquids, food contact, or other restrictions.
15. HS codes, origin proofs, and exam risk
Duty follows classification and origin. Undervaluation on small LCL files is visible. A certificate nobody can defend is also visible. Send materials and function. If a real origin program applies, align the invoice and the proof. If it does not, skip the stamp. Product marking, chemicals, food contact, and electronics can draw extra questions. Tell the forwarder at quote stage. A restriction discovered after destuff parks cargo in a public warehouse.
16. Last-mile receiving rules at the named door
European doors have hours, dock heights, tail-lift needs, booking slots, and sometimes low-emission rules. Write them. A destuff in Rotterdam plus a tautliner to a park is not a destuff plus a city-centre van. Failed delivery on LCL returns cargo to a public handling system. FCL and air DDP fail the same way if nobody is there to receive. Access is not a courtesy note. It is a cost line waiting to appear.
17. Cube crossover and packaging that survives the handoff
Past about 12 to 18 CBM, run FCL against LCL to the same named place. Include destuff and last mile in the LCL column. Include CY and truck in the FCL column. Split destinations can still favour multiple LCL files. Palletized LCL is preferred when you stay on LCL. Pack for restow on LCL and for a sealed box on FCL, still with blocking. Wood must be marked. Do not ship undeclared batteries inside general cargo to Europe. Honesty at quote stage is cheaper than a hold.
18. Importer mistakes that move both clock and cash
Comparing ocean-only with a door quote. Using inner-box CBM. Leaving EORI blank on a collect file. Mixing UK and EU on one bill. Calling DDP without VAT treatment. Picking a Mediterranean port name without destuff frequency. Appointing a broker after storage starts. Quoting a historic-centre door as a park. Recovering a missed sea cutoff with unplanned air. Each mistake moves the clock and the stack together. The fix is a named place, a frozen document set, and a mode chosen against the ready date.
19. How to compare two quotes on the same named place
Force both quotes onto the same CY, CFS, or door city. Force the same VAT sentence and the same cargo card. Then compare. A house that will not name the destuff CFS or the CY location is selling a mystery. A house that will not say who files customs is selling a sticker. Ask for origin, main carriage, destination handoff, and last mile as separate groups even if you buy DDP. Unmatched scopes are not discounts.
20. Peak space, missed cutoff, and air recovery
Peak weeks and Chinese holidays close origin receiving earlier than factories like. Work backward from cutoff to the named place. If cargo will miss a useful sea window, decide air or a later sea before the CFS clock expires. Air recovery after destuff was already the plan is usually the expensive version of the same decision. Roll policies belong in writing. Do not assume a mode is available because it was available last month. Ask against the actual ready date.
