4. Cost of a bad document is a surcharge you invented
Amendments, storage, exam, and missed promotions are document-priced events. They will not appear as ‘BAF’.
Budget cleanliness. It is cheaper than heroics at the terminal.
5. How long documents need to exist before the vessel
SI and VGM need to exist before carrier cutoff, which is earlier than ‘the ship is still at berth’ folklore. Destination filings can have their own earlier clocks.
Ask the desk for the cutoff list in writing. Folklore is how FCL files roll.
6. Bill of lading choices are operational documents
Originals, telex release, and seaway-type products change how destination release works. Choose on purpose. Do not discover the rule when the truck is waiting.
Write the release method at booking, not after discharge.
7. DDP versus port changes who must hold which PDF
DDP still needs a real invoice and a named IOR model. Port still needs a broker who receives a complete pack. FCL does not pick the Incoterm for you.
If DDP, contract who files what before stuffing. If port, appoint the dest desk before the vessel, not after.
8. LCL versus FCL on paperwork volume
LCL adds house consolidation layers. FCL adds VGM and a box-level SI. Neither is ‘less documents’ in a way that lets you skip the invoice.
Pick the ocean product on cube. Keep the commercial pack either way.
9. Packaging documents people forget
ISPM-15 marks, battery UN letters, and photos of the stuffed container are part of the file even when no customs form is named after them.
A claims file without photos is a speech. A customs file without wood honesty is a hold.
10. Customs documents are not creative writing
HS or HTS proposals, accurate descriptions, and legal value. Factory English that says ‘gift’ or ‘sample’ on pallets is an invitation.

Do not outsource memory to a chat history. Keep invoice, packing list, booking, SI, VGM, onboard, and POD.

20. English operational contact for document questions
Destination agencies ask questions on destination clocks. A reliable FCL desk answers in English without waiting for a morning that missed the cutoff.
Sales staff who only discuss rates are not document staff.
21. Trial the document path on the first box
The first FCL should prove that invoice, SI, VGM, and dest filings can happen on one calendar. If they cannot, do not scale to three HQs in peak.
Documents that only work when everyone is heroic will not work in October.
22. Close: the required set is boring on purpose
What documents are required for FCL shipments from China? A commercial pair that matches the cargo, an SI and VGM that meet cutoff, export data, and the destination filings your Incoterm assigned. Everything else is an exception you declare early.
Send that pack with the carton table. We will book a box that can be released, not only a box that can be loaded.
If a vendor says documents can wait until the vessel is at sea, they are selling courage. You want a process. Courage does not release cargo.
Write the document gate into the factory PO. That sentence prevents more FCL delays than a faster feeder.
23. One cargo story across every PDF
The invoice description, the packing list, the SI commodity, and the dest filing should sound like the same goods. Four dialects for one SKU is how exams start. FCL documents are required to agree, not merely to exist.
If the factory likes poetic English and the broker likes tariff English, pick tariff English and keep a glossary. Xinhan Logistics will not sail four stories in one seal.
24. Who is allowed to amend what, and by when
Amendments after cutoff are not a customer-service feature. They are a roll risk. Write who may change consignee, notify, and marks, and until which hour. Required documents include a change-control rule even if no customs form is named after it.
Importers who treat SI as a living novel meet the vessel as a stranger. Strangers miss cutoff.
25. Destination filings can be due while the box is still in China
ISF-type clocks and similar advance filings do not wait for the mothership to feel close. A required document that is ‘destination’ on a slide can still be an origin-week job. Ask the desk for the earlier clock.
FCL shipments from China sit for dest paperwork more often than importers expect. The vessel was innocent. The calendar was printed and ignored.
26. Photos are documents even when nobody stamps them
Stuffing photos, seal photos, and a VGM weigh ticket are how you defend a claims or overweight conversation. They are required in practice if you want the file to be adult.
A forwarder who says photos are optional is saying claims are optional. They are not, unless you enjoy speeches.
27. Put the document pack in the factory PO
If the PO only mentions price and quantity, the factory will treat documents as a favor. Write the commercial pair, packing marks, and photo rule into the PO. Favors miss cutoff. PO lines do not, as often.
