What Is Included in a China DDP Freight Quote?

A China DDP quotation is a scope document that happens to contain numbers. If the scope is vague, the number is a teaser. Delivered Duty Paid should say what happens at origin, on the main carriage, at destination customs, and on the last truck, and it should say how duty and tax will be treated when the authority disagrees with the estimate. This article shows how to read that PDF before you book.

Xinhan Logistics quotes DDP from major China ports and factory cities against packed cargo data. Any ranges mentioned here are planning language for 2026, not a live tariff. Ask for a written quote on your CBM, weight, commodity, and delivery city.

1. The headline is not the product

A single all-in figure can be honest if the footnote is complete. It can also be ocean freight wearing a DDP hat. Read inclusions, exclusions, validity, and the named place. If the named place is a port code, you are not looking at door DDP.

Force the quote to name a city and a dock type. “USA” is not a named place.

2. Origin services that should be explicit

Pickup versus factory drop, waiting time, CFS receiving, origin terminal handling, and China export filing. Extra labour for loose cartons, over-length pieces, and after-hours pickups is often outside a standard line. If you are EXW, pickup must be in or clearly extra.

A DDP quote that starts “FOB Ningbo already” is a different animal from an EXW Yiwu quote. Do not compare them.

3. Main freight lines and surcharge language

LCL is usually per revenue ton with a minimum. FCL is per container. Air is per chargeable kilo with a minimum. Bunker, war-risk, peak-season, and security add-ons may be inside or floating. Validity dates exist because those add-ons move.

Ask what happens if the selected sailing is rolled. Silent PDFs become loud invoices.

4. Documentation fees belong on the page

Bills of lading, air waybills, manifests, ISF, ENS/ICS2, and certificate handling are small until they are forgotten. DDP should either include them or list them. “As per outlay” without a planning band is how small fees feel like a sting.

Per-bill fees do not shrink because your CBM is small. Minimums punish samples.

5. Destination handling is where decorative DDP dies

CFS destuff, delivery order, terminal handling, exam transfer, and gate fees should be in or estimated. A quote that stops at “ocean and customs” without destuff is incomplete for LCL. A quote that ignores chassis for FCL is incomplete for container door delivery.

Ask who the destination agent is. An unnamed agent is not a handling plan.

6. Duty and tax: the paragraph that makes it DDP

Tax treatment on the quote What it means What you should demand
Estimated, billed at outturn Honest default for mixed new cargo HS basis and invoice value used
Included up to a cap Some programs use a cap plus extras The cap and the extra rule
Guaranteed Rare; locked SKU and locked file What voids the guarantee
Excluded Not DDP, whatever the title says A different Incoterm label

If VAT/GST is missing on consumer goods, the quote is not an all-in DDP door number. It is a partial stack.

7. The last mile has its own inclusions

Standard commercial delivery, tail-lift, inside delivery, residential, limited access, notification, and waiting time are different SKUs. Palletised versus loose cartons change labour. Fulfilment-centre appointments can add portal admin.

If your warehouse needs a liftgate, the quote must say liftgate. Drivers cannot invent one at the curb.

8. What is commonly excluded even on serious DDP

Exam fees beyond a small transfer, storage after free time caused by the receiver, extra insurance, redelivery, unpacking, disposal of packing, and licence application costs. None of these are immoral exclusions. They become immoral when they are hidden.

  • Receiver-caused storage should be named as receiver-caused.
  • Customs-caused delay should have a communication protocol.
  • Cargo insurance should be offered or declined in writing.

9. Validity, currency, and remeasure

Quotes die on a date. Currency conversion on tax is a destination rule. LCL remeasure can change the freight line after CFS receiving. A DDP quote should say whether origin measure or CFS measure governs and how disputes are evidenced.

Photograph packed cargo. Arguments without photos are folklore.

10. LCL minimums and FCL utilisation

Tiny lots pay minimums that make the per-CBM tattoo look silly. Half-empty 20-foot containers waste money relative to a well-packed LCL, until they do not, around the usual 12–15 CBM conversation. The quote should show the mode that was actually priced, not a fantasy mode.

Ask for the alternative mode when you are near the break-even band.

11. Air DDP quotes are a different spreadsheet

Chargeable weight, fuel, security, screening, and last-mile van. Door-to-door air that copies an ocean inclusion list will miss screening or will hide it. Read the air conditions as air.

Do not average an air DDP kilo with an ocean CBM. They do not share a unit.

12. How to compare two DDP quotes without getting theatrical

Line up origin, main, destination, tax treatment, truck, validity, and exclusions. Ignore the boldest headline. The cheaper honest stack wins. The cheaper dishonest stack becomes storage.

Xinhan Logistics would rather lose a fantasy bid than win a later argument at destuff.

13. Red flags that the quote is not executable

No named place. No cargo description. No validity. Duty as a round lucky number. “DDP to port.” Personal Gmail as the only destination contact. A requirement that you pay an unknown agent before anyone will admit the cargo exists.

Walk away or force a rewrite. Booking a teaser is how unexpected costs are born.

14. What you must send to make the quote honest

Packed L×W×H, gross kg, carton count, commodity, origin city, delivery city and dock notes, ready date, and a draft invoice. Battery, liquid, wood, and brand issues belong in the same email, not in a later voice note.

Garbage in, decorative PDF out. That is not the forwarder’s magic trick. That is arithmetic.

15. How Xinhan Logistics presents a usable DDP stack

We would rather show blocks than a single mysterious tattoo. You should see whether pickup is in, whether tax is estimate-plus-outturn, and whether the truck is commercial dock or something fussier. You should see a planning transit band tied to a mode.

If you need the number inside an ERP, say so. We will still not invent a fake live rate for a SKU we have not measured.

16. Surcharges after booking

GRI and emergency charges can still appear if the quote said they might. A clean DDP product either includes a buffer or states the reopen rule. Silence plus a later “market changed” email is a scope failure.

Ask the reopen rule in the same meeting as the price.

17. Insurance on the quotation

Cargo cover is often optional. If it is absent, the landed risk sits with whoever the Incoterm and the policy (or lack of policy) say. Door-to-door without insurance is a choice. Make it on purpose.

State insured value as something that resembles landed loss, not factory cost alone, if you want the cover to matter.

18. Multi-piece and multi-factory quotes

Two factories into one DDP door is a consolidation product with extra origin cartage and a combined packing list. If the quote assumed one pickup, a second factory is a new line. Say the pickup count.

Do not let factories ship separately under one DDP rate you were given for a single CFS receiving.

19. Quote versus booking confirmation

The booking should freeze the sailing or routing, the named place, and the cargo measure. If the confirmation quietly changes the Incoterm or drops tax, stop. You no longer have the product you bought.

Read the confirmation with the same hostility you applied to the quote. That is professionalism, not rudeness.

20. Common inclusion myths

“DDP includes unpacking.” Usually not. “DDP includes weekend delivery.” Usually not. “DDP includes unlimited storage.” Never. “DDP includes any exam.” Sometimes a transfer, rarely a weeks-long intensive as a free gift.

  • Ask unpacking and inside-delivery separately if you need them.
  • Ask weekend and night delivery separately.
  • Ask exam protocol separately.

21. Use the quote as a checklist at arrival

When the destination notice appears, tick it against the inclusions. Charges that were in scope should not be collected twice. Charges that were excluded should not be a shock if they were listed. If they were not listed and not logical, escalate the same day.

Last free dates do not pause for a philosophical debate about the PDF.

22. A one-page inclusion test before you approve

Can you circle origin handoff, mode, named place, tax treatment, truck type, validity, and the destination agent? If any circle is empty, the quote is not ready. If all six are filled, you can compare it to another offer.

Then send the packed measures again in case the factory changed the carton. Quotes are only as current as the tape measure.

23. What “ask for a real quotation” means in practice

It means cargo data, a named place, and a written scope, not a screenshot of someone else’s CBM. Xinhan Logistics will not pretend a 2025 brochure line is this week’s DDP door rate. Markets move. Boxes get remeasured. Authorities assess duty on facts.

Send the facts. Get the stack. Book the sailing. That is the whole product.

24. Keep quotes with the SKU family

When the same furniture line or the same charger family repeats, archive the quote, the HS, and the outturn. The next DDP number should get smarter. If every quote is a first date, you will overpay for discovery forever.

Hand that archive to the same operations owner. DDP is a relationship with a file, not a series of unrelated PDFs.

25. Archive every DDP quote with the cargo photos that justified it

A quotation without packed-cargo photos becomes indefensible when CFS remeasure disagrees. Keep the tape-measure photos, the PDF, and the booking confirmation in one folder per lot. That folder is how you audit inclusions at arrival without a theatrical argument.

If the factory changed cartons after the quote, the folder should show the new measure before sailing. Quotes are not magic. They are arithmetic attached to a picture. Xinhan Logistics can only defend a stack that still matches the cargo that arrived at origin receiving.

26. Read destination local charges as a list, not as a mood

A China DDP freight quote that says “destination charges as per outlay” without even a planning band is incomplete. Ask for CFS destuff, delivery order, terminal handling, and a note on exam transfer. Those lines are not insults. They are the door product. If the salesperson cannot list them, they cannot include them.

When the arrival notice lands, compare it to that list the same day. Charges that were in scope should not be collected twice. Charges that were excluded should have been named at quotation time. Last free dates continue while you debate the PDF, so debate quickly and in writing.

If your warehouse is appointment-only, confirm that portal admin and waiting time are either inside the DDP truck line or listed as extras. Door-to-door from China is a named-place product. A quote that cannot survive contact with a CFS tariff is not a quote you should book.
