DDP shipping from China still runs on documents. Door-to-door does not mean paper-to-nowhere. Duty, tax method, importer of record, and last mile all need a file that can be typed into an entry.
This 2026 guide lists the documents DDP usually needs, then covers process, cost groups, transit stacks, DDP versus port delivery, LCL versus FCL, packaging, customs, and mistakes. Ranges are planning tools. Xinhan Logistics quotes named doors and will not publish a fake live DDP kilo rate as a document list.
If someone says DDP means you can skip the invoice, they are selling a different word.
1. DDP is a term plus a document pack
Incoterms DDP means the seller delivers goods to the named place, cleared for import, with duty paid under the contract you actually signed. The pack still includes invoice, packing list, and transport document. It adds IOR logic and tax method.
Without those, DDP is a trucking promise attached to an unfiled entry.
2. The core trio still comes first
Commercial invoice with DDP and the named place, packing list with CBM and kg, and B/L or AWB with names that match the IOR story. If the invoice still says FOB factory, the DDP quote and the declaration disagree.
Amend the invoice when you buy DDP. Do not leave the old term as a souvenir.
3. Importer of record papers
Someone must be IOR in the destination country. That party needs the registrations that country requires: tax numbers, EORI, bond, or local equivalent. DDP sellers who cannot name the IOR cannot complete DDP.
Ask for the IOR name in writing. “We have a partner” is not a name.
4. What documents destination entry still wants under DDP
The same identity, value, origin, and quantity evidence as any import, plus whatever product certificates the heading needs. DDP does not waive product safety files.
Send those PDFs at booking, not when the truck is around the corner.
- Invoice showing DDP and the named delivery place.
- Packing list that matches packed cargo.
- Transport document for the mode you booked.
- IOR registrations the destination requires.
- Licences, COO, or test reports if the product needs them.

6. Cost groups inside a DDP quote
Origin, main carriage, destination handling, duty/tax method, and door delivery. If tax method is missing, compare nothing. A lower DDP number that omits VAT treatment is not a saving.

7. How long DDP takes compared with port delivery
Main carriage is similar for the same mode. DDP adds import processing and a booked door. Clean DDP sea files to many commercial warehouses still often sit in multi-week stacks; air DDP doors often sit in a 5–12 day planning band when papers are ready.
DDP is slower than a fantasy and faster than a port arrival with no broker appointed.
8. DDP versus port delivery: choose with the door, not the slogan
If you have a broker, a bond, and a warehouse, port delivery can be rational. If you do not, DDP can be the only adult path. The document load does not disappear in the second case. It moves.
Residential doors, malls, and sites without receiving hours need to be on the quote. Those are document facts as well as trucking facts.
9. LCL DDP versus FCL DDP papers
LCL DDP still destuffs. You need carton marks and a packing list the CFS can tally. FCL DDP still needs a delivery point that can take a container or a destuff plan. The B/L type changes. The invoice honesty does not.
Do not buy FCL DDP to a shopfront with no dock unless destuff is in the scope.
10. Packaging documents under DDP
Damage at the door is still your commercial problem even when freight is prepaid. Packing list plus photos support claims. ISPM-15 still applies if wood packing is used; DDP does not exempt phytosanitary rules.
Label batteries. DDP trucks get stopped too.
11. Customs under DDP is still customs
Officers do not see a halo because the term is DDP. They see goods and papers. Exams still happen. The DDP provider should have a plan for exam handling inside or outside the quote—ask which.
Silent exam handling is how DDP “all-in” becomes two invoices.
12. How to choose a DDP forwarder by their document questions
If they quote DDP without asking for invoice draft, door type, and product photos, they are quoting a slogan. A reliable China DDP freight forwarder asks annoying questions first.

13. Common DDP document mistakes
FOB invoice on a DDP shipment. Personal name as consignee. No IOR. Preference COO that does not match the DDP seller. Battery cargo booked as general DDP. Delivery postcode for a warehouse that will not accept third-party containers.
Each one is a delay with a door already promised to a customer.
14. Reduce DDP cost by finishing papers, not by shrinking value
Honest invoices prevent reclass and storage. Correct CBM prevents LCL surprises. A true door type prevents failed deliveries. Those cut DDP totals more safely than a creative value.
Duty is not a coupon. Classification and origin programs are the legal tools.
15. Worked thinking example without fake rates
A US buyer wants DDP to a residential address on 26 CBM of furniture. The seller issues an FOB invoice and a packing list without pallet height. Even a perfect ocean rate cannot finish that door until the invoice term, IOR, and accessorials exist.
Fix papers, decide destuff plus last mile, then quote DDP. Or sell DAP port if the buyer can receive. Do not mix them in one PDF.
16. What this article will not publish
No universal DDP document checklist that fits every country, no live duty table, no promise that every SKU can be DDP. Some products need licences the seller cannot hold.
Send the cargo card. We will say yes, no, or not until these files exist.
17. Keep tax invoices and freight invoices distinct in your archive
Your accountant will want to see what was duty/tax versus what was freight. Ask for documents that make that visible. A single blended PDF with no method is hard to audit later.
This is part of DDP quality, not extra bureaucracy.
18. How long before pickup the DDP pack should be frozen
For routine general cargo, freeze invoice and packing list before pickup, same as any mode. IOR details should be known before you even book space. Do not discover IOR gaps at CY cutoff.
Special licences sit outside routine bands. Name them at quote stage.
19. Air DDP documents versus sea DDP documents
Air: AWB, faster cutoff, still a commercial invoice that can support entry. Sea: B/L release method plus container or CFS logic. Both need the DDP-named place on the commercial story.
Express courier DDP-like products are a third paper culture. Do not assume an AWB file equals a courier label file.
20. A short audit list before you accept a DDP booking
Named place. Invoice term matches. IOR named. Tax method named. Packing list real. Hazards declared. Door can receive. Exam handling scoped. Then accept.
If the quote cannot answer those, you are buying a port move with a DDP sticker.
21. How we build a DDP file at Xinhan Logistics

22. Certificates of origin on DDP files
If DDP duty was calculated using a preference rate, the certificate must exist and match. If it does not, the tax method was fiction.
Do not send last year’s COO. Issue for this invoice.
23. Peak season DDP needs earlier papers, not louder promises
Doors book out. Brokers book out. Freeze the pack earlier. A DDP ETA without a frozen invoice is a marketing ETA.
We would rather give a later door that exists.
24. How to request a DDP quotation with the right attachments
Send product name, packed dimensions, gross weight, origin city in China, delivery city and door type, invoice draft, and any licences you already hold. Ask for DDP with tax method on the page.
That is the document set that makes DDP a shipment instead of a slogan.
25. Power of attorney, bonds, and the quiet DDP papers
Destination brokers often need a power of attorney or equivalent before they can file. DDP operators who already have an IOR structure still need your product file. Ask what you must sign, and sign it before sailing, not after berthing.
Bonds and VAT deferment, where they exist, are part of the tax method. If the quote never mentions them, ask whether duty will be paid at entry or accounted later. Silent timing becomes a cash surprise, which buyers then call a customs delay.
26. Returns, refusals, and DDP documents in reverse
If the door refuses the cargo, DDP is not finished. Storage and redelivery need instructions and sometimes a new entry posture. Decide in advance who has authority to redirect.
A refused FCL at a residential street is a document failure that started at quote scope. Put accessorials on the page so refusal is less likely.
27. Multiple SKUs on one DDP door
Mixed catalogues need mixed invoice lines, not one “household goods” heading. DDP does not average headings. It files them. Send a packing list that can be mapped to lines.
If one SKU is overlay-restricted, it can hold the whole door. Split before you promise a single arrival. That split is extra documents and often less total pain.
28. How to read a DDP confirmation as a document checklist
A usable confirmation names origin city, door, mode, tax method, IOR, and which destination charges are inside. If any of those are missing, you do not yet have documents enough to audit the quote.
Reply with the invoice number you will declare. Lock both sides. Then pack. If the confirmation still says FOB in the fine print, you do not have DDP documents; you have a conflict.
29. What to send on day one of a DDP booking
Invoice draft with DDP and named place, packing list, product photos, battery or wood flags, door receiving hours, and the IOR question answered in one sentence. That bundle is the real DDP booking, not the ocean space alone.
