How to Choose a Reliable China Freight Forwarder for Amazon FBA

Choosing a China freight forwarder for Amazon FBA is a test of inbound competence, not a test of who has the largest world map. The operator must label or verify FNSKUs, book a mode that can actually deliver to a fulfillment center, clear customs under a named importer of record, and keep an appointment. This 2026 checklist is for sellers who have already been burned by a cheap port-to-port bill of lading.

It covers process, cost factors, transit time, documents, DDP versus port delivery, LCL versus FCL, packaging, customs, and mistakes. Ranges are planning bands. Xinhan Logistics quotes packed cartons and FC codes. We will not publish a fake FBA rate to win a beauty contest.

A reliable FBA forwarder will refuse some cargo. That refusal is a feature.

1. Ask them to explain an FBA inbound in order

If they start with vessel name and never mention shipment ID, box content, or FC code, they are a general forwarder improvising. The correct order is inbound created, cargo packed and labeled, documents frozen, freight booked, customs, FC delivery.

Listen for whether they distinguish Amazon received from vessel arrived.

2. Demand a role map in writing

Who preps, who files export, who is IOR, who trucks to the FC, who owns Amazon messages about delivery. If the answer is our partner for all of it with no names, keep asking.

Xinhan Logistics will name what we do and what Amazon controls. Blurring those is how ETAs become fiction.

  • Prep location: factory or China warehouse.
  • DDP or port delivery.
  • Last-mile agent region.
  • DG capability if batteries exist.

3. Planning table: signal versus what it usually means

Use on the first call.

Signal Often means Risk
Asks for FC code and carton sizes They have done FBA Still verify photos of labels
Quotes Amazon USA per kg only Marketing rate Last mile and labels missing
Refuses unlabeled batteries Compliance desk exists You must tell the truth
Promises any FC in 10 days by sea They are selling hope Walk away
Shows receiving report samples Warehouse is real Check dates are recent

4. Cost transparency you should require

Origin, main freight, destination, last mile, what happens if Amazon reschedules. Estimates versus firm lines. Validity date. A single all-in that changes after departure is not reliability.

Compare inclusions, not the bold number.

5. Transit talk that sounds like a professional

They should give stacks: origin days, main carriage band, clearance, appointment. US air often plans around 7–14 days factory to FC for ordinary cargo; sea is multi-week. Anyone who only says fast sea to Amazon is not your operator.

They should mention peak and Amazon receiving lag without being asked twice.

6. Documents they insist on before booking

Invoice truth, packing list from packed cargo, battery status, FBA shipment ID if it exists. A forwarder who books first and asks for papers at cutoff is practicing rolled cargo.

They should refuse gift values on commercial FBA quantities.

7. DDP capability versus a slogan

Ask who the broker is, who the IOR is, and whether duty is included. Ask whether they have delivered to your FC region. DDP is a licensed chain, not a font choice on a quotation.

If you already have a US broker who delivers to FCs weekly, a port delivery specialist can still be reliable. Match the product to your team.

8. LCL and FCL advice that uses a calculator

They should request CBM and then discuss LCL versus a 20-foot including extras. If they always sell FCL, they like containers. If they always sell LCL, they like handling fees. You want the math.

Ask what carton strength they require for LCL FBA.

9. Packaging and prep: visit the standard, even remotely

Request photos of FNSKU placement, carton labels, and pallet wrap from a recent (non-confidential) workflow. If they cannot describe Amazon inbound types, they will learn on your cargo.

A furniture forwarder is not automatically an FBA forwarder.

10. Customs competence for e-commerce catalogues

They should ask about metals, batteries, food contact, cosmetics, and brands. They should not promise zero inspection. They should know FBA delivery address is not IOR by default.

EU/UK VAT questions belong on the first EU quote, not after arrival in Rotterdam.

11. Communication tools that survive a refusal at the FC

Email plus a searchable folder of PDFs. Named operations contact. Time-zone honesty. WeChat-only operators lose files when a group hits message limits.

You should see photos at origin and appointment numbers at destination.

12. References that are actually FBA

Ask for lanes like Shenzhen to a named FC region, not we ship worldwide. Ask whether they handle labeling in-house. A wholesale importer reference is weak evidence for FNSKU work.

A reference who only used port-to-port ocean is not an FBA reference.

13. Common mistakes when sellers choose an FBA forwarder

Lowest screenshot. No FC on the quote. Ignoring battery policy. Switching forwarders mid-ocean. Assuming Amazon partnered carrier covers a 40-foot. Believing a 2024 blog about carton limits without checking Seller Central today.

Also: hiring two forwarders on one inbound ID and letting both print carton labels.

14. How to reduce cost without choosing an unreliable operator

Give measured cartons. Share cover days so they do not sell you air by default. Label in China. Accept origin fees that prevent destination storage. Run LCL versus FCL honestly.

Unreliable cheap is the most expensive FBA product.

15. Worked thinking example without fake rates

You have 6 CBM of home electronics with power accessories from Dongguan to a California FC, first FBA PO, factory has never seen FNSKU. The reliable choice is a forwarder with a China prep warehouse and DDP to FC, not the cheapest Ningbo LCL agent who says the factory can sticker.

After five clean POs, you can slim the workflow. Do not slim it on PO one.

16. Peak season: who still tells you no

Reliable operators close receiving, move cutoffs earlier, and refuse fantasy ETAs. Operators who still accept everything in October will roll you in silence.

A no on Thursday is more valuable than a yes that misses CY.

17. Contracts, insurance, and claims behavior

Ask standard liability, whether they offer cargo insurance, and how they handle Amazon shortage versus ocean damage. You want a process, not a feeling.

Keep your own photos. The best forwarder cannot reconstruct a carton they never saw.

18. How Xinhan Logistics expects to be evaluated

Send product, packed dimensions, kg, origin city, FC, ready date, and label status. Judge us on the questions we ask back, the inclusions we list, and whether we refuse a cutoff that cannot work.

We handle sea freight, air freight, customs support, and door-to-door for importers, wholesalers, and e-commerce sellers. Use the contact block at the end of this article for a named-place quotation.

19. What a quotation from a reliable FBA forwarder contains

Mode, planning band, inclusions, exclusions, document list, validity, and open questions. FC named. DDP defined. No immortal USD/kg to Amazon USA.

If that packet is missing, you are choosing a slogan.

20. Trial shipment design

First PO should be large enough to be real and small enough that a failure does not kill the account. Test labels, export, clearance, and FC delivery. Do not test on Q4 volume.

Score the trial on exceptions, not on whether the ocean rate matched a random group chat.

21. When to stay and when to switch

Stay if exceptions are explained and rare. Switch if mislabels repeat, destination invoices surprise you every time, or they cannot name the trucker. Switch on the next PO, not mid-ISF.

FBA files have memory. Clean cutovers.

22. Multi-marketplace sellers need more than a US specialist

If you ship to UK and EU FCs, ask about VAT and EORI on the same call. A brilliant California DDP operator may still be the wrong EU operator.

Choose per lane if you must. Do not assume one WhatsApp can be every customs system.

23. Red flags in the first quote email

No questions about batteries. No request for carton sizes. Door to Amazon in 12 days by sea from inland China. Gift as a suggested invoice description. No company entity on the quote.

You can end the search there.

24. A short decision checklist you can reuse

They asked for FC and packed sizes. They explained IOR. They gave a stack, not a slogan. They listed last mile. They said what they will not carry. Validity dated.

If those boxes tick, request the quotation and run the trial. That is how you choose a reliable China freight forwarder for Amazon FBA.

25. Check whether they can say no to your favorite bad idea

Ask what happens if you want to ship unlabeled cartons this Friday to hit a sale. A reliable FBA forwarder will say the FC will refuse, and they will offer a warehouse day. An unreliable one will take the booking and let Amazon refuse.

The same test applies to gift values, hidden batteries, and sea ETAs that cannot physically work. You are hiring judgment.

Xinhan Logistics would rather lose a booking than deliver a refusal dressed as cooperation.

26. Operations hours and who is awake when the FC is angry

US FC appointments happen on US clocks. A China-only chat that goes quiet at 18:00 Beijing will miss a same-day reschedule. Ask who covers destination hours.

You do not need 24/7 theatre. You need a named person and a backup when a truck is waiting.

If the only contact is a salesperson on commission, the file will stall when the salesperson is in a pitch.

27. System access: who can see Seller Central delivery status

Some sellers give limited access; some send screenshots. Either can work if it is timely. Neither works if the trucker is guessing the shipment ID from a packing list nickname.

Agree the method on PO one. Change it later if needed. Do not improvise at the gate.

Never share passwords in a freight chat. Create proper user permissions if you grant access.

28. How to read a first failed delivery without firing everyone

One Amazon reschedule is not a character flaw. Repeated wrong pallet counts, wrong FC, and unlabeled cartons are. Score the failure type.

Ask for the root cause in writing and the SOP change. If the answer is Amazon is random every time, keep your eyes open.

A reliable forwarder will own the part that was theirs and name the part that was Amazon’s or the factory’s. Mixed ownership sentences that blame only the ocean are a smell.

29. Local presence in China versus a remote brand

FBA prep lives in a physical warehouse. Someone has to walk to a carton. A brand with no floor in China can still be fine if their contracted warehouse is real and they send reports. A brand with only a logo cannot apply an FNSKU.

Ask for the warehouse city. Guangzhou Baiyun and Changsha logistics parks are real places. Somewhere in China is not a place.

Xinhan Logistics operates as a China forwarder for this reason: the cartons are here, the labels are here, and the cutoff is here.
