How to Arrange Door-to-Door Shipping from China to the USA: A Complete Importer Guide

Door-to-door shipping from China to the USA is a booking product, not a slogan on a quotation. The cargo is collected at a factory or warehouse in China, exported, carried by sea or air, cleared at the US border, and delivered to a named door. If any of those legs is undefined, you do not have a door-to-door plan. You have a port rumor with a delivery promise taped on.

This 2026 guide is for importers, wholesalers, and buyers who want a China-to-USA door move with a real origin city and a real US delivery city. Ranges below are planning bands. Arrange the file in this order: cargo facts, Incoterm, Importer of Record, then mode. Vessel names come last.

1. Write the US door before you ask for a sailing

A ZIP code, a dock hour, a forklift question, and a residential-versus-commercial flag change the last mile more than the ocean string. Send the delivery city and the receiving constraint with the first quote request.

If the door is a storage unit, a home garage, or a site with no loading dock, say so. A 40-foot chassis cannot pretend to be a sprinter van.

2. Factory city is not a China port

Shenzhen, Yiwu, Qingdao, Ningbo, and inland Changsha do not share one pickup cost. Origin trucking and the export CFS or CY sit on the invoice even when the ocean line is famous.

Tell the forwarder the factory city and the ready date. A cargo that is still on a production line in Dongguan is not a Yantian booking.

3. Process from China pickup to a US warehouse

Typical stack: pickup, origin warehouse or CY in-gate, export customs, ocean or air main carriage, US arrival, customs release, drayage or last-mile booking, delivery appointment, proof of delivery.

DDP door-to-door folds duty and tax handling into the same commercial conversation. Port delivery stops earlier and leaves you holding the ISF, the bond, and the trucker.

Bands move with blank sailings, exams, and peak season. They are not a promise printed on a bill of lading.

5. Cost factors that sit outside ocean freight

Door-to-door cost is pickup, origin handling, export docs, main freight, destination terminal, customs broker work, duty and fees if DDP, last-mile delivery, and waiting time.

A cheap ocean line with an expensive chassis shortage is not cheap. Ask for the stack, not a single USD headline.

6. Transit time when you count trucks

Port-to-port sailing is the middle third. Origin pickup can add 1–4 days. US last mile can add 2–8 days after release, longer if the warehouse appointment book is full.

Air DDP still needs export close-out and US entry. Airport-to-airport in three days can still be a 8-day door if the broker file is incomplete.

7. Documents for a commercial door file

Commercial invoice, packing list, and a clean product description are the floor. US entry also wants an HTS classification, Importer of Record identity, and ISF data for ocean.

Door delivery does not erase document duty. A trucker cannot clear cargo that CBP will not release.

8. DDP versus port delivery on the same lane

DDP means the seller or the nominated forwarder arranges carriage and import clearance to the named place, with duty and tax handling agreed in the quote. Port-to-port leaves you as the party facing the terminal and the broker.

Choose DDP when you do not have a US broker on speed-dial. Choose port delivery when you already run ISF, a continuous bond, and a preferred trucker.

9. LCL versus FCL on a door-to-door booking

LCL shares a container. It is right for a few CBM. It also adds CFS destuff and a higher damage surface. FCL is right when CBM, weight, or packing risk says the box should be yours alone.

Door LCL is not door FCL. The last-mile unit is cartons or pallets after destuff, not a sealed container at your dock—unless you booked FCL delivery.

10. Packaging that survives three vehicles

Origin truck, ocean or air, and US last mile will each drop, stack, or strap the cargo. Export cartons must be packed for the weakest of those three, not for a photo on the factory floor.

Mark center of gravity, keep liquids and powders honest, and photograph packed cargo before pickup. Claims without photos are speeches.

11. US customs when the cargo is going to your door

CBP releases cargo to a status, not to a marketing Incoterm. If the entry is wrong, the door date moves. PGA flags (FDA, FCC, CPSC, USDA) add holds that a cheap DDP quote often ignored.

Tell the forwarder what the product actually is. ‘Parts’ is not a classification.

12. ISF, AMS, and late data

Ocean cargo to the USA needs Importer Security Filing before vessel loading in the usual commercial pattern. Late or wrong ISF is a fine and a delay, not a paperwork footnote.

Door-to-door forwarders who shrug at ISF are not door-to-door forwarders. They are port salespeople.

13. Importer of Record is a person or company, not a slogan

Someone must be IOR. DDP service can include IOR support when that is contracted. It is not automatic because the letters DDP appeared in an email subject.

If you cannot be IOR, say so before cargo leaves the factory. Retrofitting IOR at Long Beach is how doors miss appointments.

14. West Coast versus East Coast doors

A Los Angeles or Oakland discharge is a different last-mile map than Savannah, Newark, or Houston. Inland Midwest doors may rail from the West or catch an East Coast all-water string.

Do not optimize the ocean rate and then discover the delivery city is on the other coast from the port you bought.

15. Common mistakes on China-USA door moves

  • Quoting CBM from a factory Excel that used product size, not packed size
  • Calling a residential driveway a commercial warehouse
  • Skipping ISF because ‘the forwarder will handle it’ with no named filer
  • Booking LCL for cargo that should have been FCL to limit handling
  • Using a sample courier rate as the model for 2 CBM of commercial freight

16. How to reduce cost without a mystery quote

Reduce CBM with honest packing. Choose LCL or FCL by math, not by habit. Avoid peak-week cargo when the sales calendar allows. Keep the invoice description aligned with the HTS so exams are not invited.

The cheapest door quote is often the one that forgot duty, chassis, or a residential surcharge. Compare stacks.

17. Exams, holds, and delivery appointments

A CET hold, a VACIS exam, or a PGA document request can sit the cargo after the vessel is alongside. Door ETAs that ignore exam risk are theater.

Build slack into the warehouse labor plan. Paying a crew to wait for a container that is in exam is an importer cost, not a carrier apology.

19. Quote checklist before pickup is booked

  • Packed L×W×H and kg per carton, carton count, photos
  • Origin city in China and US delivery city / ZIP
  • Commercial or residential receiving, dock or no dock
  • Product materials and any battery, liquid, or wood packing
  • Who is Importer of Record and whether DDP is required

20. What this article will not publish

No live USD per CBM dressed up as today’s market. No guaranteed exam-free clearance. No fake 12-day FCL door from Yiwu to New Jersey as a standing offer.

21. Peak season, blank sailings, and rolled cargo

Late summer through early winter can stretch door calendars. Blank sailings move cargo to the next vessel. Rolled cargo is still your inventory problem.

Book space when the factory date is real. A forecast production week is not a CY cutoff.

22. Insurance on door-to-door cargo

Carrier liability is not cargo insurance. Door moves have more handoffs than a CY-CY box. Insure on actual value with a description that matches the invoice.

Photograph stuffing or pickup. A claim file without origin photos is a weak file.

23. After arrival: POD, detention, and shortages

Proof of delivery should name pieces and exceptions. Shortage arguments start at destuff or at the door, not two weeks later on a spreadsheet.

FCL door delivery can still accrue detention if the warehouse cannot accept the chassis. Appointments are part of the door product.

24. When air DDP is the right door product

Use air DDP when the inventory cost of waiting exceeds the air premium, or when the CBM is small and the goods are compact. Do not air-freight bulky furniture because the sea quote arrived on a Friday.

Air still needs a correct US entry. Speed does not legalize a bad HTS code.

25. Residential, limited-access, and appointment warehouses

A commercial dock in an industrial park and a residential driveway in a cul-de-sac are not the same last-mile product. Limited-access sites, downtown loading windows, union facilities, and appointment-only 3PLs each add calendar and money. If you tell the forwarder ‘Los Angeles’ and mean a no-dock storefront in Santa Monica, the truck that shows up will be the wrong truck.

Say the receiving rule in the first RFQ: dock or no dock, pallet jack or forklift, live unload minutes, and whether a 53-foot trailer is legal on that street. Door-to-door China-USA work fails more often on that sentence than on the ocean string. Xinhan Logistics would rather re-quote last mile than send a chassis into a street that cannot take it.

26. Bonded cargo, in-bond moves, and when they help

Some importers want cargo to move inland under bond before the consumption entry is filed, or to a bonded warehouse while a classification question is open. That is a different product from a routine DDP door. It can protect a door date when the HTS conversation is unfinished, but it adds a dest desk that knows in-bond, not only drayage.

Do not ask for in-bond as a hobby. Ask for it when the entry is genuinely not ready and the cargo is already on the water. The cheaper path is still to freeze documents before pickup so a normal DDP door can run. Bonded tricks do not replace a packing list.
